Challenge

The owner was spending several hours each week writing and sending quotations to prospective clients — all from scratch, even when the requests were similar. Copying from previous quotes often introduced errors, and the process took time away from planning and operations.

What We Did

Over three weeks we set up a simple AI drafting tool that generates a structured quotation from a short set of inputs. The owner reviews and adjusts before sending — the tool handles the consistent structure and standard clauses. We wrote a one-page reference card for staff as well.

Result

Quotation drafting dropped from around 3–4 hours per week to under an hour. Error rate in standard clauses fell noticeably. The owner described the change as "freeing up my Tuesdays." The tool has been in use for five months without major issues.

Challenge

The studio principal was curious about AI after hearing about it from other business owners, but had no clear idea of what was relevant to a creative services practice. She didn't want to spend money on something unless it made genuine sense for her work.

What We Did

We ran the readiness conversation over 90 minutes. The session covered her studio's workflow from client acquisition through project delivery. We identified two areas worth exploring (client communication drafts and design brief summaries) and one area that wasn't a good fit at this stage.

Result

The client decided to try the communication drafting tool on her own first, using our written summary as a guide. Six weeks later she followed up to let us know she was managing it without additional support. She returned for a workflow engagement when her team grew.

Challenge

What We Did

We started with a readiness conversation, then moved into a retainer arrangement. The first three months focused on one specific use case: a structured way to produce and organise delivery confirmation records. The second three months introduced a second tool for internal scheduling communications.

Result

Record management time reduced from an estimated 5 hours per week to around 90 minutes. The scheduling communication tool has had mixed results — still in use but with some manual adjustment most weeks. The owner's view: "Two out of three tools working well is better than what I had before."
